Utility Clerk I

SUMMARY OF DUTIES

Under the close supervision of the Collections Supervisor performs routine clerical, receptionist and administrative assignments to include, working this cash, cash receipt documentation, and cash drawer maintenance, and other public services.

ESSENTIAL DUTIES:

  • Follows personnel policies and procedures as set forth by the City of Belen.
  • Answers multi-line telephone system, directs calls as appropriate and takes messages.
  • Types correspondence, reports, and other material from rough or advanced draft.
  • Files and retrieves information from manual and/or automated files.
  • Prepares outgoing mail.
  • Enters various data pertaining to statistical and other records into computer system.
  • Makes copies and assembles materials for distribution as necessary.
  • Operates two-way radio to send and receive messages and assignments to field staff.
  • Works in a high visibility environment, promoting professionalism.
  • Ensures quality customer service.
  • Establishes and maintains professional working relationships with co-workers, supervisors, other city personnel and the public.
  • Works independently and completes activities according to work schedule with little or no supervision.
  • Establishes and maintains required documentation and records for reporting purposes.
  • Addresses public concerns and directs to appropriate department head for solutions.
  • Assists with collections, knowledge of basic accounting principles required.
  • Makes recommendations to better improve the department to direct supervisor.
  • Other duties as assigned.

QUALIFICATIONS:

  • Graduation Diploma from high school or equivalent such as GED.
  • Experience working with multi-line telephone systems.
  • Experience working in a receptionist environment, performing standard office procedures and practices.
  • Assists with collections, knowledge of basic accounting principles required.
  • Able to communicate effectively, verbally and in writing with persons of all ages, varied economic and social status, city supervisors, other local agencies and the general public.
  • Able to work with angry or at times difficult customers.
  • Able to work under pressure and/or frequent interruptions.
  • Ability to speak Spanish (bilingual) preferred, but not required.
  • Valid New Mexico’s driver’s license required.
  • Able to pass a drug and alcohol screening to include continued random drug screening.

EQUIPMENT USED

Knowledge and experienced with common office equipment, such as computer hardware and software, calculator, copier, fax, base radio, phone and fax.  Employee may occasionally be required to operate city motor vehicle.

PHYSICAL DEMANDS:

The employee must occasionally lift up to 20pounds and move up to 20 pounds.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

WORK ENVIRONMENT

While performing the duties of this job, the employee works inside building with controlled temperatures.  The noise level in the work environment is consistent to office work situations.
